Create a one-time or recurring invoice for a tenant, landlord or other contact.

Step 1: Open Create Invoice

  1. From the left-side menu, click Dashboard.
  2. Click Quick Actions.
  3. Select Create Invoice. For rent that repeats every month, choose Create Recurring Invoice instead.

You can also go to Accounting > Invoices and Receipts and click Create A New.

Step 2: Choose the invoice type

  • Property based: the invoice is tied to a property or building, for example rent, utilities or a deposit.
  • General: not tied to a property, for example a fee charged to a landlord for your services.

Step 3: Fill in the details

  1. Title: give the invoice a clear name, for example "May Rent" or "Key Deposit".
  2. Property / Building: for property-based invoices, pick the address.
  3. Contact: choose who the invoice is for (tenant, landlord or other contact).
  4. Frequency: One-time for a single charge, or Recurring for a charge that repeats.
  5. Product: choose what's being charged, for example Rent, Last Month Rent or Admin Fees.
  6. Amount: enter the amount.
  7. Invoice Date and Due Date.
  8. Sales Tax: choose whether to include it.
  9. Notes: add anything the contact should know (optional).

Step 4: Save

Choose Save and Create a New Invoice if you have more to add, or Save This Invoice Only.

Pick the right product category

Every product on an invoice is tied to either an income or a liability category. Ask whose money it is:

  • Income: money your business keeps, such as management fees, admin fees or commission.
  • Liability: money you collect for the landlord and pass on, such as rent on a managed property, last month rent or key deposits.

Picking the wrong one misstates your revenue, so check before you save. Products and categories are managed under Accounting > Accounts and Categories, and you can create a new one from inside the invoice form.

Good to know

  • You can also create the rent invoice while adding a tenant (Quick Actions > Add Tenant).
  • Right after adding a tenant, the Create Other Payments prompt lets you set up last month rent or key deposit invoices quickly.
  • Late fees and on-time discounts can be added automatically. Set them up under Settings > Rent Management.
  • An invoice can be edited while it still has a balance. Once paid, or once a Stripe or ZumRails payment is attached, it's locked.
